Product scope

Service description

TruckZen provides a software-as-a-service shop management platform for commercial truck repair facilities, fleet maintenance operations, and automotive service businesses. The Service includes tools for work orders, estimates, invoices, parts inventory, purchase orders, vendor bills, fleet and asset records, compliance-data organization, employee time tracking, digital vehicle inspections, customer records, customer-portal sharing, Smart Drop document intake, OCR-assisted imports, barcode and scanner workflows, backups, audit history, and reporting.

TruckZen is a business operations tool. It does not provide legal, tax, financial, or regulatory compliance advice and is not an accounting, repair, payroll, insurance, or regulatory advisor.

Access control

Account and administrator responsibility

You must provide accurate, complete, and current account information. The account owner and authorized administrators are responsible for activity under their organization's account, including activity by employees, contractors, invited team members, and customer-portal recipients.

You are responsible for protecting login credentials, multi-factor authentication factors, invite links, reset links, and devices used to access TruckZen. You must notify us at support@truckzen.pro if you suspect unauthorized access.

Administrators are responsible for assigning roles, limiting permissions to the right users, disabling access when a worker leaves, configuring shop features lawfully, and providing any customer, employee, workplace monitoring, geofence, terminal-device, or kiosk notices required in their jurisdiction.

Use limits

Acceptable use and uploaded content

You agree to use the Service only for lawful business operations. You shall not:

  • store, transmit, upload, or distribute unlawful, harmful, abusive, defamatory, infringing, or otherwise objectionable content;
  • upload malware, viruses, ransomware, or code intended to exploit, damage, or interfere with any system;
  • interfere with the integrity, availability, security, or performance of the Service;
  • resell, sublicense, or provide Service access to third parties without written consent;
  • use bots, scripts, scrapers, or bulk extraction tools beyond supported export features; or
  • send unsolicited commercial communications to customers, vendors, employees, or third parties.

Uploaded content responsibility. When you upload documents, photos, videos, invoices, purchase orders, vendor bills, customer documents, employee documents, driver credentials, vehicle photos, kiosk submissions, Smart Drop files, OCR inputs, or similar content, you represent that you have the rights, permissions, and consents needed to upload, store, process, and share that content through the Service.

Security boundary

Unauthorized backend, administrative, and API access

The Service includes owner-only backend, developer, administrative, platform, and API-key control surfaces. You and your team shall not attempt to reach, use, or interfere with those surfaces unless you are specifically authorized to do so.

Prohibited activity includes:

  • probing, calling, or replaying backend, administrative, platform, or API endpoints through DevTools, scripts, proxies, manually crafted requests, or replayed requests;
  • attempting to bypass, disable, or escalate role, permission, shop-scope, tenant-scope, or authorization checks;
  • discovering, harvesting, or using any credential, API key, token, secret, environment value, or configuration that was not issued to you;
  • scraping, bulk-extracting, exfiltrating, or attempting to steal data outside your authorized access and supported export features;
  • reverse engineering, decompiling, or attempting to derive Service source code, internal structure, or non-public behavior; and
  • running a vulnerability scan, penetration test, security probe, or abuse simulation without our prior written authorization.

We may log, preserve, monitor, and investigate suspected unauthorized backend, administrative, or API access. We may suspend, disable, or terminate access, notify affected organizations, preserve evidence, refer the matter to law enforcement, and pursue legal remedies. Where permitted by law, we may seek damages and may seek injunctive relief. Nothing in this section guarantees any specific legal outcome.

Business data

Shop records, customer portal, and workflow responsibility

You are responsible for the accuracy and lawfulness of customer records, vendor records, vehicle records, driver records, employee records, estimates, invoices, work orders, purchase orders, vendor bills, parts quantities, inventory adjustments, payments recorded manually, approval text, customer communications, and any supporting files entered into or generated through the Service.

When you send estimates, invoices, work orders, kiosk check-ins, or other records through a customer portal or shared link, you are responsible for choosing the correct recipient and deciding what information is appropriate to share.

TruckZen may retain audit and activity history for created, edited, sent, approved, declined, trashed, restored, imported, matched, or deleted records to support accountability, investigation, and business history.

Human review

Imports, Smart Drop, OCR, AI, and scanner output

The Service may include third-party imports, Smart Drop document intake, AWS Textract or other OCR-assisted extraction, AI-assisted classification, line-item matching, invoice and vendor bill parsing, purchase order matching, barcode or scanner input, and automated workflow suggestions.

These outputs are productivity aids only and require human verification. You are responsible for reviewing imported, extracted, matched, suggested, or scanned data before relying on it for operational, regulatory, accounting, payroll, repair, billing, inventory, compliance, or business decisions.

You remain responsible for DOT, FMCSA, state automotive repair licensing, workplace, tax, accounting, payroll, insurance, and other regulatory obligations that apply to your shop.

Employee notice

Workplace monitoring and timekeeping

If a shop administrator enables workplace timekeeping, terminal-device trust, approved-network checks, geofence checks, job timers, break timers, override reasons, or related features, workers may be subject to logging that includes clock-in and clock-out events, device or terminal identifiers, network context, GPS/geofence indicators, job activity, and audit-trail entries.

Administrators are responsible for providing workplace monitoring notices, collecting acknowledgements or consents where required, configuring access to monitoring records appropriately, and ensuring these features are used lawfully and proportionately.

Your data

Data ownership and service license

You retain ownership of the business data you enter into the Service, including shop records, customer records, vehicle and asset records, invoices, estimates, parts records, uploaded content, and other operational records.

You grant TruckZen a limited, non-exclusive license to use, store, process, transmit, display, back up, and secure that data solely to operate and improve the Service, support features you enable, support customer-portal interactions you initiate, comply with law, enforce these Terms, investigate abuse, and maintain reliable operations.

We may use aggregated, anonymized, or de-identified data to understand usage, improve performance, and guide product decisions. That aggregated data will not identify you or your business.

Access terms

Policy acceptance, availability, and termination

Access to TruckZen may require acceptance of current Terms, Privacy Policy, Acceptable Use, AI/OCR/import, workplace monitoring, cookie, or related policy versions. Acceptance, decline, and required-review records may be stored for accountability and audit history. If you decline a required policy, access may be blocked or you may be logged out.

We strive to maintain availability but do not guarantee uninterrupted or error-free operation and do not publish an uptime service-level agreement. The Service may be unavailable because of maintenance, deploys, infrastructure issues, backup or restore operations, security responses, or events beyond our control.

We may suspend or terminate access if you breach these Terms, fail to pay applicable fees, misuse the Service, attempt unauthorized access, create security risk, or act in a way that harms TruckZen, another user, another organization, or the Service.

Legal terms

Limits, governing law, and contact

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND. TRUCKZEN WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING LOST PROFITS, DATA, USE, GOODWILL, OR BUSINESS INTERRUPTION.

Our total aggregate liability for claims arising out of or relating to these Terms or the Service will not exceed the amount you paid to TruckZen in the twelve months immediately before the event giving rise to the claim.

These Terms are governed by Illinois law, without regard to conflict-of-law rules. Legal actions relating to these Terms or the Service must be brought in state or federal courts located in Illinois, and you consent to personal jurisdiction there. Questions may be sent to support@truckzen.pro.
